I. Welcome – Jeremy Phillips, Co-Chair
Co-chair Jeremy Phillips welcomed the TIF committee members and solicited comments on the minutes from the August meeting. TIF members were encouraged to submit comments by Friday, October 2nd to tif@ucdavis.edu . See August minutes: http://tif.ucdavis.edu/meetings/2009/TIF_Minutes_082609.pdf .
II. Introducing 2009‐10 TIF
- Recognition of out‐going co‐chair and introduction of new co‐chair – Pete Siegel, Vice Provost, IET
Vice Provost, IET, Pete Siegel recognized Katie Stevens for her five years of service as TIF Co-chair. Siegel stated that Stevens did a tremendous job spearheading the TIF, and was instrumental to a number of committees and projects closely related to the TIF. Siegel presented an IET Leadership Award which will be given to Stevens as the first recipient of the award in recognizing her significant contributions within the TIF. Due to unavoidable scheduling conflicts, Stevens was unable to attend the TIF meeting, but will be presented with the award within the next few days.
Siegel introduced the new co-chair, Paul Drobny, Technology Manager, Student Affairs. Drobny stated he was pleased to take-on the TIF co-chair role and looks forward to a great year working with Co-chair Jeremy Phillips, the TIF Subcommittee Chairs, and the TIF membership.
- TIF charge and role within campus IT governance ‐ Pete Siegel, Vice Provost, IET
Siegel provided an overview of the TIF, its charge, role and governance within the campus IT frame-work. See http://tif.ucdavis.edu/meetings/2009/agenda/TIF 0verview_IT governance_093009.ppt to view the PowerPoint presentation.
The TIF is one of several IT communities that provide recommendations and endorsements to IET and the campus. Other campus technical advisory groups include the Deans’ Technology Council and the Technology Support Program. In addition to these advisory groups, the Administrative IT Roadmap Coordinating Council, the Campus Council for Information Technology, and the Academic Senate Committee on IT are groups which help govern and shape the campus IT landscape.
The TIF is comprised of approximately 40 technology experts from academic and administrative units (plus IET liaisons), from both the Davis and Sacramento campuses. The members are appointed by deans, vice provosts, and vice chancellors with responsibility to the Vice Provost of IET and the technology community. The TIF members represent IT interests, needs, business goals, and the perspective of campus units.
The charge of the TIF is to:
- Identify, evaluate, and provide substantive technology advice and recommendations
- Help develop common vision for best practices, architectural & infrastructure strategies, common services, etc.
- Actively participate in TIF & subcommittee meetings and discussions
- Ensure that TIF discussions, IT projects, etc. are communicated within schools, colleges, and departments
- Subcommittee chairs and TIF membership– Jeremy Phillips, TIF Co‐chair
Phillips welcomed the new TIF members for 2009-10 and asked each member to introduce themselves. In addition, Phillips introduced the subcommittee chairs: TIF Client Support Issues Chair Pam Davis, School of Education; TIF Security Chair Chip Mrizek, Graduate School of Management; and TIF Infrastructure Chair Eric Prosser, College of Biological Sciences. TIF members were encouraged to participate in the subcommittee discussions as the subcommittee meetings are venues for in-depth technology discussions.
III. MyInfoVault update and October upgrade release – Debbie Lauriano, Director, IET Application Development; Everett Wilson, Data Coordinator, Academic Personnel (on behalf of Connie Melendy, Assistant Vice Provost, Academic Personnel)
Debbie Lauriano, IET Application Development, stated that the MyInfoVault project has been under significant development with the v3 upgrade scheduled to go into production at the end of October. As part of this release, MIV will be the first implementation of the Kuali Rice workflow. See the MIV website: http://myinfovault.ucdavis.edu for details on the v3 upgrade, and the latest project information, updates, and status.
Everett Wilson, Academic Personnel, identified several goals for MIV which include a decision support feature, and online academic forms. Wilson stated that a roles system will be soon released that will integrate with the campus central system once developed. Additionally, Connie Melendy, Assistant Vice Provost, Academic Personnel and domain convener of the Academic Personnel Domain, continues to engage campus leadership in the shaping of the domain and systems.
Discussion points:
- How will the Decision Support system be developed for MIV? (The project team is working through a similar model used for the DaFIS Decision Support system).
- What data and access will be made available through the MIV Decision Support system? (A user group has been established to help guide the development of the MIV DS as well as the Academic Senate to help guide the data sensitivity issues).
- How can TIF members provide input on the reports available through the MIV DS? (Mary McNally, Graduate School of Management, mmmcnally@ucdavis.edu , is the chair of the users group and membership of the users group is comprised of representatives from various campus units. TIF members should direct questions regarding their unit’s representation directly to McNally.
For questions and feedback regarding the MIV project, contact Debbie Lauriano, dalauriano@ucdavis.edu; and Connie Melendy, clmelendy@ucdavis.edu . Additionally, the up-to-date MIV project information can be found at: http://myinfovault.ucdavis.edu .
IV. Security Updates – Bob Ono, Campus IT Security Coordinator, IET
- IdentityFinder for students - Starting this fall, students can obtain a free copy of IdentityFinder through an agreement with IdentityFinder for the next 24 months. Students can register and access the home use product through the web link available at https://software.ucdavis.edu .
- Cyber-safety survey reminder – The online Cyber-safety survey tool has been available since September 1st and will go through November 20th. It is recommended that departments complete the paper process to gather their results before entering the information into the online tool. Information gathered in the Cyber-safety survey is used in the UC-wide survey due to Office of the President in January 2010. To access the online survey tool, see: http://security.ucdavis.edu/cybersafety.cfm .
V. TIF subcommittee action items/recommendations
The chairs of the TIF subcommittees provided brief reports from their latest meetings. Below is a list of the topics discussed in subcommittee meetings. For more information, see the subcommittee Web sites (accessible from tif.ucdavis.edu ) and/or contact the chair(s) of the subcommittee(s):
- TIF Client Support Issues (Chair Pam Davis) – OpenAFS client upgrade for DaFIS clients and Distauth web servers, Snow Leopard and Windows 7 compatibility testing, virtualization project, fall IdentityFinder for students.
- TIF Security (Chair Chip Mrizek) – Fall IdentityFinder for students, update from AppScan training
- TIF Infrastructure (Chair Eric Prosser) – Identity and Access Management Project, MyInfoVault v3 upgrade.
VI. Discussion topics – Jeremy Phillips, Co‐chair
Jeremy Phillips shared a draft itemized spreadsheet (see: http://tif.ucdavis.edu/meetings/2009/agenda/Draft_TIF Topics Matrix 2008-09 (2).xlsx ) of the topics discuss in TIF discussions in 2008-09 as well as a chronological listing (see: http://tif.ucdavis.edu/docs/2008-09TIF-Topics2.pdf ). Phillips encouraged TIF members to submit suggestions for potential 2009-10 topics based on last year’s listing, as well as upcoming projects and initiatives that would be of interest to the TIF. In addition, in the coming meetings, TIF members will be asked to provide input, endorsements, and recommendations on a variety of topics that will discussed throughout the year. It was suggested that an effort could be made to avoid the same topic discussed in multiple TIF subcommittees and monthly meetings unless there is new information available, or questions or concerns that need to be addressed.
TIF members were encouraged to submit TIF topic suggestions to tif@ucdavis.edu .
The meeting adjourned at 11:30 a.m.
